RFQ summary

Start with a short business summary: product type, intended use, target market, quantity range, sample need and expected timeline. This helps the supplier judge whether the request is standard, modified or fully custom.

Keep marketing language out of the technical section. Buyers get better quotes when the requirement is measurable.

Product and process information

List food type, dough or batter weight if relevant, oven type, bake temperature range, dwell, cooling, depanning, washing, stacking and storage. State whether the pan contacts food directly or uses liner paper.

For automated bakeries, attach rack, oven, conveyor, washer and stacker interface information.

Drawing and dimensions

Attach a drawing or dimensioned sketch with outside size, usable size, depth, rim, radius, cavity count, perforation, thickness and tolerance. For replacement items, include photos and explain current problems.

Material and coating requirement

State preferred material, thickness, surface treatment, coating type if known and any acceptable alternatives. If the supplier may recommend material, ask them to explain the reason and assumptions.

For coated bakeware, request coating evidence, sample trial, cleaning limits and change-control commitments.

Food-contact documents

List required destination markets and document types: material declaration, coating declaration, migration or extraction reports where applicable, SDS if needed, traceability and lot records.

Sample, trial and approval plan

Define sample quantity, sample construction, trial process, acceptance criteria and who approves the sample. A sample should represent the production route, not a hand-made item that cannot be repeated.

Record release, fit, deformation, cleaning, surface quality and packaging results before mass production.

Inspection, packaging and commercial terms

State critical dimensions, inspection method, AQL or sampling approach, workmanship limits, packaging method, carton or pallet preference, labels, destination, Incoterms and requested validity period.

Ask the supplier to identify open points, tooling charges, lead time, payment terms and any requirement that cannot be confirmed.
